Head of Operations

Job description

Our team is developing a payment gateway for accepting funds from users on behalf of merchants, as well as sending funds from merchants to users. The system involves storing user payment data and is subject to PCI DSS compliance. It contains multiple integrations with payment systems, providers, and other gateways and processors, including 3DS.

During the initial handover and probation period, you will report to the CPO and work closely with the CEO, CTO and functional leaders. This is a strategic and hands-on role—not traditional administration—with initial responsibility for company operations, cross-functional delivery, HR / People Operations, and office administration.

Job responsibilities

  • Build operating model, including planning cycles, management meetings, reporting and follow-up routines.

  • Translate company priorities into clear plans, owners, milestones, KPIs and measurable outcomes.

  • Lead Project and Cross-functional Delivery Management across Product, Engineering, Merchant Operations, Business Development, Marketing and other teams.

  • Establish consistent project standards and improve visibility, predictability and accountability without taking ownership away from functional leaders.

  • Lead HR / People Operations, including recruitment, onboarding, performance management, workforce planning and employee processes.

  • Partner with leadership on organisational design, decision rights, accountability and team development.

  • Develop operational dashboards and management reporting; identify risks, bottlenecks and resource constraints early.

  • Simplify processes and introduce practical tools, documentation and automation without creating unnecessary bureaucracy.

  • Partner with Finance on budgeting, resource planning, forecasting and cost optimisation.

  • Oversee office and administrative operations, suppliers, workflows and operational expenditure.

  • Act as a trusted partner to the leadership team, resolve cross-functional issues and build a high-performing Operations function.

Job requirements

You’ll thrive here if you have

  • 7+ years of experience in Operations, Business Operations, Project / Programme Management, Consulting, Chief of Staff, COO Office or a related leadership role.

  • Experience in technology, SaaS, fintech or another fast-moving environment.

  • Proven ability to build scalable processes and operating structures in a growing organisation.

  • Strong cross-functional project and programme management experience.

  • Experience leading teams and working with senior stakeholders.

  • Knowledge of organisational design, performance management, workforce planning and HR / People Operations.

  • Strong analytical, problem-solving, communication and stakeholder-management skills.

  • Ability to turn strategic priorities into practical execution plans.

  • Hands-on, commercially aware and comfortable challenging constructively.

  • Good judgement about when structure adds value and when it creates bureaucracy.
